General Submission Guidelines

Complete the following steps to deposit your work in the Open Repository. If you need help, email rsclib@uwo.ca

Create a new item 

  • Go to uwo.scholaris.ca
  • Log In: Western WebLogin
  • In the black sidebar menu on the left of the screen, click + --> New --> Item
    • If you don't see the sidebar menu, double check that you're logged in.

Complete the submission form

To enhance the discoverability of your work, provide as much citation information as possible. 

  • Authors - Enter in the format Lastname, Firstname
  • Title - Enter the main title of the item
  • Other Titles - If the item has any alternative titles, please enter them here.
  • Date  of Issue - Please give the date of previous publication or public distribution. You can leave out the day and/or month if they aren't applicable.
  • Publisher - Enter the name of the publisher for the previously issued instance of this item.
  • Copyright Statement - Please enter any copyright statement language present on the document or required by the publisher.
  • Source Publication - Enter the source for the previously issued instance of the item (e.g. journal name, conference proceeding name)
  • Volume - Enter the volume for the previously issued instance of the item. 
  • Issue - Enter the issue for the previously issued instance of the item.
  • First Page - Enter the first page for the previously issued instance of the item.
  • Last Page - Enter the last page for the previously issued instance of the item.
  • Identifiers - If the item has any identification numbers or codes associated with it, select from the dropdown the type/s and the actual numbers or codes (e.g. DOI)
  • Series/ Report No. - Enter the series and number assigned to the item as applicable (e.g. for working paper series)
  • Type - Select from the dropdown the type of content of the item.
  • Language - Select from the dropdown the language of the main content of the item. 
  • Subject Keywords - Enter appropriate keywords or phrases. Hit enter after each entry or use commas to separate keywords.
  • Abstract - Enter the abstract of the item.
  • Sponsors - Enter the names of any sponsors and/or funding codes.
  • Department or Research Group - Enter the department/faculty, research group, course name, or other unit associated with the item.
  • Description - Enter any other description or comments in this box.
  • License - Select from the dropdown the license of the resource. 
  • Upload Files - Click browse in the box at the top of the screen or drag and drop the file anywhere on the page.
    • If your work includes more than one file, repeat the process for all files.
    • If you get an error message when uploading a file, click Save for later. Click Edit to reopen the submission form and try uploading it again. 
  • Embargoes
    • To add an embargo to a file: first click on the pencil icon to the right of the filename. Then choose "embargo" from the "Access condition type" drop-down menu. Using the calendar under "Grant access from" select the first date on which access is allowed. Click Save.
    • If you are depositing multiple files, you must complete this step for each file.
